CHAPTER 1: INTRODUCTION OF INTERNSHIP PLACE

1.1. GENERAL INFORMATION

King Garden Hotel is located in the middle of Da Nang, and is within 1.5 km of Cham Museum. Well located in the Da Nang City-Centre district, this hotel offers 26 rooms with a balcony, a pantry, a sofa, a work desk and IDD telephone. Each room is fitted with a balcony with a city view. At the hotel, all rooms are facilitated with a desk, a flat-screen TV and a private bathroom. The units at King Garden Hotel include air conditioning and a wardrobe. Round-the-clock assistance is available at the reception, where staff speaks English and Vietnamese. Asia Park Danang is 2.2 km from the accommodation, while Love Lock Bridge Da Nang is 2.3 km away. Da Nang International Airport is 2 km from the property.

1.2. FORMATION AND DEVELOPMENT

King Garden Hotel was established at the end of 1993 with the initial goal of serving both domestic and foreign guests. The hotel has 26 rooms and a restaurant.

Officials of staffs in the general office of the corporation lunch in the style of multinational restaurant, the restaurant can serve 250 guests at the same time. The number of staff in the hotel has 52 people in which the restaurant has 25 people.

In 2004, after twelve years of operation under the model of King Garden Hotel Joint Stock Company, it invested to upgrade into a two star hotel. In 12 years of operation the hotel has achieved certain achievements. Recently, the hotal has attracted many customers, special tourists to Danang.  The average occupancy rate in latest years always reaches 80-85% /year.

2.1. GENERAL INTRODUCTION TO MY JOB

2.2. STAGES OF WORKING

• Reserve room booking
– Record the following information:
o Name of guest, name of delegation, name of registrant.
o Address, phone number, fax number (including area code), email.
o Number of guests traveling in the delegation.
o Arrival date and number of nights.
o Number of rooms and types of rooms.
o Room prices and form of payment
o Type of reservation (guaranteed or not)
o Special guest requests.
– Determine the ability of the hotel
o When booking a reservation, check the number of rooms and room available for the hotel meets the requirements of the guest. (Check on software system)
o Accept Overbooking at a certain percentage to maximize room occupancy.
– Negotiate and persuade guests to book rooms
– Record booking information
– Inform booking regulation of hotel with customers
– Specify the number of rooms and types of rooms booked.
– Specify the hotel services provided to guests under the agreement.
– Record detailed food requirements (if applicable)
– Confirm time of deposit, deposit amount, payment method.
– confirm the number of rooms and guest list in the delegation for the hotel.
– Record the name, address, phone number, fax number, email of the person.
– Pay attention to the special promotion policy for the delegates.
– Check the previous information of this delegation was at the hotel including: room cancellation number, room number but no arrival and changes.
 Perform check-in process:
– Ask for the name of the guest and look for the registration documents prepared in advance.
– Confirm the information and room type of guests.
– Ask if customers want to make any changes (suggestions for higher room rates).
– Receive requests
– Determine the ability of the hotel
– Negotiate and persuade guests
– Based on the daily booking list, get the necessary information, contact the room division to make sure the room is ready, pay attention to rooms with special requirements: honey moon, VIP room …
– Greet and welcome guests as soon as they arrive at the office
– Take customers personal identity
– Fill in the registration form
– Get the guest’s signature on the registration form
– Direct visitors to the appropriate person and office
– Ask for the name of the guest; confirm room information, service set.
– With walk-in guests, introduce available rooms for guests to choose from.
– Ask for customer’s identity card (Vietnamese Passport), Passport (foreign guests) and perform procedures for receiving deposits, payment.
– Instruct the guest to complete and sign the confirmation form to stay at the hotel.
– Inform guests about the time of breakfast, the hotel services, the travel related services: booking, car rental,…

CHAPTER 3: LESSONS LEARNT

3.1. LESSONS LEARNT

After the internship period in King Garden Hotel, I acquire numerous valued understanding and abilities which will assist me considerably for my future occupation. Those knowledge and skills include:

– Developing confidence: Staying confident and positive is the major experience that I learned after the internship. Being confident and positive when connect and work together with other employees and clients helped me to participate better in one organization and new environment.

– Improving communication skills: During the internship time, I had a chance to improve my communication skills continuously and effectively. Daily conversation and interaction with other staffs helped me to become more tactful and confident in communication. Besides, assigned tasks relating to contacting customers also helped me to develop commutating skills, assisted me to better persuade customers.

– Developing translating capacity: English terms relating to hotel and hospitality area were a big barrier for me at the beginning but after doing translating tasks more regularly, this difficulty was overcome and as a result, my translating capacity is improved as well.
